Property Manager – Iron Horse at Whitefish
Position Overview
Manage one of Montana’s most distinguished residential communities. Iron Horse encompasses 264 custom mountain home sites and 50 cabins with proximity to world-class golf, renowned Whitefish lake and exceptional skiing. As Property Manager, you’ll oversee all operational aspects of the Homeowners Association, serving as the cornerstone of this exceptional community where meticulous standards and premium service aren’t just expected—they’re essential.
This role serves as the primary liaison between the HOA Board, residents, vendors, and staff, ensuring every aspect of Iron Horse reflects its position of one of Montana’s premier residential addresses.
Key Responsibilities
Operations Management
Direct daily operations across all common areas, amenities, and community facilities including the water and fiber internet utilities and round-the-clock security service. Develop and implement operational policies that enhance mountain living while protecting property values in this distinctive setting.
Financial Oversight
Manage the annual operating budget with strategic oversight and cost discipline. Monitor expenses, approve invoices, and ensure operations meet luxury standards efficiently. Prepare comprehensive monthly financial reports for the Board, track delinquencies, and coordinate collections when necessary. Work with our professional support to develop forward-looking capital improvement plans and reserve studies that anticipate the community’s long-term needs.
Vendor and Contractor Management
Cultivate relationships with premier service providers who understand the Iron Horse standard. Solicit competitive bids, negotiate contracts, and manage vendors including landscaping companies, security services, maintenance contractors, and specialized providers. Ensure every project and service delivery meets community expectations. Maintain comprehensive vendor compliance and insurance documentation.
Compliance and Enforcement
Uphold community covenants, conditions, and restrictions with professionalism and discretion. Conduct property inspections, address concerns proactively, and partner with homeowners to maintain the aesthetic excellence that defines Iron Horse. Review and approve architectural modifications ensuring they enhance the community’s character and mountain setting.
Resident Relations
Serve as the accessible, responsive point of contact for homeowner inquiries and requests. Address matters promptly and professionally, building trust while maintaining appropriate boundaries. Develop communication initiatives and community events that strengthen neighborhood connections in this unique mountain environment.
Board Support
Attend monthly Board meetings with comprehensive reports, actionable insights, and strategic recommendations. Implement Board decisions effectively and provide expert guidance on policy matters, capital projects, and community issues. Maintain meticulous minutes, records and documentation.
Emergency Management
Act as first responder for community emergencies including severe weather events, facility failures, security incidents, and natural hazards inherent to mountain living. Coordinate seamlessly with emergency services, contractors, and residents to ensure safety and protect community assets.
Required Qualifications
- Education: Bachelor’s degree in Business Administration, Property Management, Hospitality Management, or related field preferred
- Experience: Minimum 5-7 years in property management, with at least 3 years managing upscale residential communities, private clubs, or luxury resort properties. HOA/COA management experience essential.
- Certifications: PCAM, CMCA, or AMS designation required or must obtain within 18 months of hire
- Technical Skills: Proficiency with property management software, financial management systems, Microsoft Office Suite, and project management tools. Strong financial acumen with proven budget development and analysis capabilities.
Preferred Qualifications
Mountain resort community or private club operations experience. Knowledge of alpine landscape management and mountain facility operations. Real estate license or background. Familiarity with Montana HOA regulations and Fair Housing laws.

Compensation

Duties & Responsibilities
1. Manage staging area through setup and maintenance of cart fleet, station amenities, and car arrivals
2. Provide greeting services to all members and guests at valet, cart barn, and practice facility
3. Ensure spotless presentation of golf cars through careful operation, washing, and detailing services
4. Ensure carts are fully stocked and maintained for play
5. Properly manage club storage and member equipment through orderly bag organization, sending out bags in advance of player arrival, ensuring clubs are stored clean and in the correct position
6. Provide excellent customer service to members and guests
7. Proactively look for opportunities to assist members & guests needs. Anticipate and Offer
8. Operate practice facilities to standard.
